#Microsoft365 Day 335: Empower Your #SharePoint #Intranet Super Users Part 12

To finalize our Build and Maintain a #SharePoint #Intranet Series I’ll share a checklist of items to monitor on a regular basis. Build this into your responsibility matrix and add it to the KPI’s of your Super Users. I definitely can’t think of everything – if you have anything to add to this list, please comment on the post and I’ll add it. Here’s a checklist of some items I want you to do on a regular basis:

  • Check Site Pages Library for Checked out Pages
  • Check Document / Picture Libraries for Checked Out Items
  • Make sure that all Graphics are good quality
  • Confirm that Pages display well on mobile or smart devices (remember that web parts wrap and images crop differently)
  • Test the Intranet on different browsers
  • Read the feedback from your Surveys and respond where necessary
  • Look at the help-desk calls related to your Intranet on a regular basis and adapt your training, guidelines and governance based on it.
  • Update your responsibility matrix for the Intranet (list of super users and areas)
  • Monitor the Office 365 Roadmap for any updates on SharePoint
  • Share new features with super users and train where necessary
  • Monitor duplicate documents and naming conventions in your main libraries
  • Deal with outdated content
  • Include Intranet induction for new employees in company
  • Check Recycle Bin for “accidental bulk deletes”
  • Update your Intranet to include new features and information for your employees
  • Refresh your Home page every couple of months (not everything, just graphics at least)
  • Monitor the adoption and usage statistics for your site
  • If you have any workflows running, check these for errors
  • Check unique permissions, ultimately you don’t want to break inheritance on item, folder or even app level where you can
  • Meet regularly with the Intranet Forum (Super Users) to get feedback and plan improvements

#Microsoft365 Day 315: Empower Your #SharePoint #Intranet Super Users Part 1

As a follow up to our “Let’s build an #Intranet Together” series, I’d like to supply you with some videos and resources to empower your Super Users in #SharePoint. These people will be uploading content to the Intranet, make changes to pages and replace images etc. Their duty will be to ensure that content, images and news is always up to date and relevant. That’s a huge responsibility so please invest back in these users by giving them the right tools and support to do their jobs.

#Microsoft365 Day 311: Let’s Build a #SharePoint Intranet Together (Part 21)

And we’ve made it!!! In 21 Steps we’ve built a #SharePoint #Intranet together. In the final video I’ll show you how to use #PowerPoint to record an Intro video, then we’ll publish this to #Stream and surface it on a #News page in #SharePoint. This will be used to send out the email to Launch the Intranet. Hope you’ve had as much fun as I’ve had!

Today we’ll cover a ‘scary’ topic. Most people are afraid of applying permissions. Perhaps because they’re not quite sure of the impact. Let’s take a look at applying permissions for your contributors as well as readers. I’ll also show you how to create a unique permission that can Contribute but not delete.

#Microsoft365 Day 308: Let’s Build a #SharePoint Intranet Together (Part 18)

The most important part of your Intranet is the team of contributors who will be adding content to it. Today we’ll build a Microsoft Team for these Intranet Contributors to share ideas with each other, support and help each other. Remember we want to create a culture of self-learning and curiosity, SharePoint might be new to these people and we have to support them as much as possible. The Microsoft Team will also be used to document regular meetings, categorize feature requests, share training material etc.
