Most people don’t have the time (or the desire!) to become data experts. But every department, from finance to sales to HR, is flooded with spreadsheets, numbers, and reports.
That’s where Copilot Analyst comes in. It’s like having a friendly, built‑in data expert who can read your files, make sense of them, and give you the answers you need in minutes.

What Is Copilot Analyst?
Copilot Analyst is a specialised helper inside Microsoft 365 that turns your numbers and spreadsheets into clear insights, charts, and summaries, without you needing formulas or technical skills.
Microsoft explains that Analyst is designed to work “like a data scientist” and can turn raw data into easy‑to‑understand answers and visuals. It’s built right into Microsoft 365 Copilot Chat (add-on license) and is available for everyday business users.
Think of it as: A smart colleague who loves spreadsheets and explains things simply. 🤣
Why It’s Useful and how it’s Different from Regular Copilot?
Regular Copilot can help you write, summarise, and create content. But Copilot Analyst goes much deeper with numbers.
Here’s what makes it special:
- It can understand messy spreadsheets
- It can look for patterns or problems in your data
- It can create charts, summaries, and forecasts
- It explains how it got its answer, step by step
- It can even run calculations in the background automatically
Microsoft highlights that Analyst uses advanced reasoning to give high‑quality answers similar to what a human expert would produce. You don’t need to know any formulas; just ask it questions the way you’d talk to a person.
How to Use Copilot Analyst:
1. Open Microsoft 365 Copilot
Inside Copilot, you’ll see Analyst under the “Agents” section. If it’s not there, you can add it from “All agents.”
2. Give It Your Data (it’s protected by your Microsoft 365 license)
You can upload:
- Excel spreadsheets
- CSV files
- Reports
- Or even paste data straight into the chat
3. Ask a Normal, Everyday Question
No technical language needed.
Try things like:
- “Please summarise this sales report for me.”
- “Show me the main trends in this spreadsheet.”
- “Create a chart comparing these regions.”
- “Find anything unusual in this finance data.”
- “Forecast what next quarter might look like based on this information.”
4. Review and Refine the Results
Analyst will give you clear explanations, charts, or a summary.
You can then ask follow‑up questions like:
- “Explain this in simpler terms.”
- “Show me only the top 5 items.”
- “Turn that into a PowerPoint slide.”
