#Microsoft365 #Office365 #SharePoint #OneDrive Beginning of May it was announced that there will be a change to the versioning settings for SharePoint and OneDrive. This affects all Document Libraries in SharePoint Team Sites as well as OneDrive. Keep in mind that your documents in Microsoft Teams also sit in SharePoint Team Site Libraries, so will also be affected.

What are Versions?

Versions in SharePoint is an excellent way to ‘track’ changes that were made to documents, as well as have the ability to restore previous versions (when you’ve messed up your document – or someone else has). SharePoint and OneDrive keeps electronic versions in the ‘background’, so not actual separate document copies. You can access, and view these at any time. It’s a great way to view previous published policies for example.

The versions can be found here in SharePoint:  Click on the drop-down next to the document, go to versions. Next to each version you’ll find a drop-down which enables you to View, Restore and Delete the Version:

This is where you would configure the versioning settings in a SharePoint Library.  Settings > Library Settings> Versioning Settings. At the moment you can still disable the versioning (see notes below):

In OneDrive it’s rather easy as you can find the versions right there in your Office documents:

Go to OneDrive in the Cloud and you’ll find the versions here:

Updates from Microsoft around versions:

To keep our experiences great, we’re enabling versioning on all Document Libraries in team sites in SharePoint Online and OneDrive for Business. All libraries will be set to retain a minimum of one hundred major versions. Existing libraries that have versioning enabled but are set to retain fewer than one hundred major versions will be updated to retain the new minimum. Libraries already set to retain one hundred or more major versions will not be affected, including those with the default setting of five hundred.  Read more…
